By now, Electronic File Management or Electronic Document Management might be phrases you are all familiar with. This can be done by setting an expiration date when a certain number of downloads has been reached, and several other ways. This is extremely convenient for certain businesses, such as law offices, as they can upload a contract to be viewed by a certain number of people, and once all of those people have signed on and downloaded the particular document, it will no longer be visible online. Thus, making sure the security of the document remains intact.

The administrator of your EFM account can assign sub administrators who will also have privileges when it comes to settings of documents that are uploaded. Another security feature that is included in the newest version of electronic file management software is the ability to reset a user's password from anywhere. The key to this security, however, is that you must be at the same IP address where you requested the password reset. Once the system has validated your request you are then asked to answer two security questions from the one's you entered at registration time.

When you registered; you could add many security questions; however the system randomly picks two of them just for an added level of security. If you are not logged onto the system with the same IP, then your will get a message that that your computer's IP is not the same you requested the reset from to mitigate the risk of potential security breaches. This and several other security features have been implemented to protect you and your documents.

Another security measure that has been implemented is protection against false login attempts. If someone enters the wrong information when trying to login three times, the account will be locked to protect your files and information. When you are looking to download an Electronic File Management system, it's important to make sure that it includes these features; otherwise your information may not be secure. You should also look for a company that provides email or some other type of support to answer any and all of your questions or help with any issues that may arise.

You should also be aware that many of the electronic file management software systems require a license upon installation and download. One will be given to you, and the IP address that you register the account on. This is for your protection, and for the company who issued the software so they can assist you with anything you may need.
